Reimbursement Request for BVFD Vehicles
The Bowie Volunteer Fire Department (BVFD) is requesting reimbursement of 20% of the costs the organization incurred for purchasing, outfitting, and placing into service two new support vehicles and one used support vehicle. The purchases were necessary after one BVFD Chief’s vehicle (a 1999 Jeep) became due for replacement after normal usage and the BVFD President’s response vehicle (a 1990 Crown Victoria) became due for replacement after normal usage. The BVFD also purchased a used Stepvan/canteen truck as a personnel support vehicle to respond to community incidents. The BVFD was able to utilize their Fleet purchase agreement with the Ford Motor Company to purchase the vehicles at a substantial savings from Sheehy Ford after comparing prices between Ford and Chevy/GMC. The cost of the BVFD Chief’s vehicle was $24,466 and the cost for the BVFD President’s response vehicle was $22,185. The cost of the used GMC Stepvan was $12,000. The cost to add needed accessories (radios, lettering, seals) came to $7,998.04, for a total of $66,649.04 (see Attachment #2). The reimbursement from the City would be for $13,329.81 (20 %).
City Resolution R-25-00 provides for the reimbursement of twenty (20%) of the total purchase price of each vehicle subject to certain conditions (see Attachment #1). The BVFD has met the conditions imposed upon them by the Resolution.
A. There are sufficient funds in the Contribution-Fire Equipment Account to fund the 20% reimbursement. Once the reimbursement is made, there will be a balance of approximately $170,700 in the fund.
Staff Recommendation
Staff has reviewed the purchase, invoice, and payment documentation provided by the BVFD and find them to be complete and in order. Staff recommends Council approval of the requested reimbursement amount of $13,329.81.
